How to create a PDF report for your media in Birdi map 2.0

Create a polished, shareable PDF straight from your map’s media (photos from DSLR/smartphone or drone). Perfect for progress updates, defect assessments, area-of-interest and more.

Turn any curated set of photos in Map 2.0 into a clean, branded PDF in a couple of clicks. The report compiles your images and their annotations (tags & notes) into:

  • a cover page with your workspace logo,

  • a high‑level summary of images and tag counts,

  • an annotation overview grouped by tag with quick links, and

  • image detail pages (one per photo) showing the picture and its attached information.

Best for project updates, inspections/defects, Area of interest reporting, compliance evidence, incident or insurance documentation, and stakeholder briefings.


What you need: images uploaded to a layer/folder and at least some tags or notes.


Access: generated PDFs are visible to workspace users on the map; view‑only access via the public url's do not allow downloading and cannot access reports.

This feature currently supports media items only in Map 2 and is only available on our Growth & Ultimate Plans.


Prerequisites

  1. A Map 2 project with uploaded media
    Stills from a DSLR/smartphone or drone are supported.

  2. Annotations on images
    Add tags (manually or with the AI Detect tool) and/or notes to your photos. You can do this via the Layers toolbox or in full‑screen image view.

  3. (Optional but recommended) Workspace branding
    Upload your logo so it appears on the report cover.

Tip: The richer your image annotations (tags + notes), the more useful the report output will be.


How to generate a PDF report

  1. In Map 2, locate the single layer or folder that contains the images you want to include.

  2. Right‑click the layer or folder and choose Export PDF.

  3. You can also export a report from the layers toolbox or table view using the ... menu

  4. Birdi will begin generating the report in the background.

What you’ll see during generation

  • A map‑based notification shows the report is in progress. Large reports may take longer to compile.

  • When complete, the report appears in the Layers tree as a folder containing the generated PDF.

Accessing and managing the report

  • Download: Right click the pdf and select download or select the download icon on the layers toolbox

  • Rename: Double click the name in the layers tree or in the Layers toolbox to edit the report’s name.


Report structure

Your PDF is organised into the following sections:

Cover page

  • Shows your workspace logo (if branding is configured).

  • Project/map name and generation date/time.

High‑level summary

  • Total images included.

  • Tag breakdown (counts by tag).

  • Quick glance at how many images are tagged vs. untagged.

Annotation overview (grouped by tag)

  • For each tag, see the related images and a short synopsis.

  • Includes quick links to jump to the detailed pages in the PDF and/or open the image in the platform.

Image details (one page per image)

  • The image itself (with tag badges shown if present).

  • A summary table listing tags and notes attached to that image.

  • This section repeats for each image included in the selected layer/folder.


Permissions & sharing

  • Workspace users who have access to the map can view and download the generated reports.

  • Viewers (share‑links or view‑only roles) cannot access reports; they can view map‑based datasets only.

Note: To share a report externally, download the PDF and distribute it via your preferred channel (email, document portal, etc.).


Tips for great outputs

  • Curate your folder before exporting: keep only the images you want in the report.

  • Use consistent tags so the summary and grouped sections are clean and meaningful.

  • Leverage AI Detect to speed up bulk tagging, then do a quick manual tidy.

  • Brand your workspace to auto‑apply your logo on the cover.


FAQs

  1. Does this work for videos, orthos, or vector layers?
    Not yet—this release supports media (photos) only.

  2. Can I customise the layout?
    This version is templated for clarity and speed. Branding (logo) is supported via Workspace branding.

  3. Are hyperlinks active in the PDF?
    Yes—quick links in the Annotation overview jump to sections in the PDF and to the corresponding items in Birdi (where applicable and the viewer has access).

  4. Will future exports include new tags/notes?
    Exports are point‑in‑time. Add or update annotations and re‑export to capture changes.

  5. I don’t see the Export → PDF option
    • Ensure you’re right‑clicking a media layer or a folder that contains images.
    • Confirm you’re in Map 2.
    • Verify you have the necessary permissions on the map.

  6. My PDF is empty / missing images
    • Check the selected layer/folder actually contains supported image files.
    • If you filtered your view, try clearing filters before exporting.

  7. Tags/notes aren’t appearing
    • Confirm tags/notes were saved to the image(s).
    • If tags were added after export, re‑export to include the latest annotations.

  8. Generation is taking a long time
    • Large image sets can take longer. Consider splitting the export into smaller folders.
    • Keep the browser open until the notification shows the report has been added to the Layers tree.
