How to create, customize and manage your workspaces (Plus, Growth & Ultimate Plans)

We’ve recently made improvements to how workspaces work on Birdi, giving you more control, flexibility, and better management across projects and teams.


What’s new?

  • You now manage your platform through one organisation (your billing entity), with the ability to create and manage multiple workspaces.

  • All workspaces share the same plan inclusions – such as user seats, processing (Depending on plan inclusion), and storage.

  • Our user roles and permissions have been streamlined for better control 👉 Birdi user seats, roles and permissions.

  • You can now share a map using a public link – no login required.


Why Use Workspaces?

Workspaces give you powerful ways to organise and collaborate:

  • Manage multiple clients or departments with dedicated, secure workspaces.

  • Brand workspaces as your own, your client’s, or co-branded.

  • Control user access with flexible role-based permissions.

  • Collaborate in real time within each workspace.


How to create a workspace

  1. Click profile icon in the top left

  2. Go to your Administration.

  3. Click on the Workspaces tab.

  4. Select + Create a workspace.

  5. Add a workspace name.

  6. Select Create workspace

Only Organisation Admins can create or delete workspaces.


How to delete a workspace

  1. Go to your Administration.

  2. Click on the Workspaces tab.

  3. Find the workspace you want to remove.

  4. Click the next to its name.

  5. Select Delete.

⚠️ Before you proceed, please note:

  • The workspace will be permanently deleted.

  • You can select a workspace to migrate the map and users to.

  • These changes are permanent and cannot be undone.

The same changes apply if you downgrade to a plan without workspaces.


How to brand a workspace

Only an Organisation Admin can update the branding of a workspace.

  1. Go to your Administration.

  2. Click on the Workspaces tab.

  3. Click the Workspace name you want to customise

  4. In the workspace, go to customisation

    1. If you want to use your workspace name in place of the Birdi logo, toggle Display workspace name instead of logo to on.

    2. Main menu icon: This is the small icon used to toggle workspaces from your dashboard. Best to use a favicon style. Recommended resolution: 40x40px

  5. Upload your logo

    1. You can upload your logo for use in the top left corner and in some email comms sent automatically from the platform.

    2. Ensure you toggle each one to on to set

  6. Choose between your branding, client branding, or co-branding.

Branding is available on Plus, Growth and Ultimate plans.


How to invite, edit, or remove users from a workspace

Invite a user:

  1. Go to the Users tab in the workspace.

  2. Click Invite a user.

  3. Enter their first name, last name, email and assign a role.

  4. Click Send Invite.

Edit user access:

  • Click the next to the user's name.

  • Choose Edit

  • Select permissions

  • Choose a new Role Type from the dropdown.

  • This will auto Save your selection. This user will have the new permission across all workspaces they are associated with.

Remove a user:

  • Click the next to the user's name.

  • Select Delete User.

You can assign users to specific workspaces with custom access using our structured roles.
